why archiving emails?

More and more b2b and b2c communication is shifted to the internet, mainly to email and IM. Emails contain a large part of company communication by now and the amount is increasing from day to day. In most cases (mainly in SMCs but also in large companies) the emails are stored in the inbox of the user that receives them. In some companies they are not even backuped, anyway the restoring of deleted emails is associated with great afford, if possible.

filofant:

By archiving an email in the filofant it is assured that the email will stay available as long as the company policy demands this. By using the filofant web search interface the mail can be restored by resending it to the original mail address.

Even when backup and restore are solved problems in a company, the email stays as a property of the user which receives it, which is not always a desired effect, particularly if there is information which has to be shared in a working group. The common solution for this problem is to send all emails CC to all other members of the group that leads to a constant email overload. In these masses of emails, it is extremely difficult to extract the ones that are important for the single workgroup member

filofant:

All emails (and the attached documents) stored in the filofant can be searched in a fulltext index search engine, controlled by a group based permission system. With simple queries it is possible to see the whole communication with a customer (outgoing and incoming), check if there was already a solution for an incident, search your companies communication as easy and fast as you would use an internet search engine.

Members of a working group can check for new information about the status of their co-worker in the filofant. They receive only the, for them and their business, important emails.
